Cancelled, disabled or suspended NCE subscriptions still appear
This article explains why cancelled, disabled, suspended, or expired Microsoft NCE subscriptions may still appear in Sync 365 and how to decide whether they should still be mapped, billed, excluded, or ignored.
Why these subscriptions can still appear
Microsoft subscription status and billing responsibility are not always the same thing. A subscription may no longer be active for new assignment but may still be visible in Microsoft data, have a commitment end date, or remain relevant for billing review.
Sync 365 may continue to show these subscriptions so you can make a clear billing decision rather than hiding something that may still affect billing.
Common reasons
- The subscription is cancelled but still inside a Microsoft commitment or billing period.
- The subscription is suspended but still visible through Microsoft data.
- The subscription was replaced by a new upgraded subscription.
- The subscription has an end date that has not passed yet.
- The subscription was transferred and Microsoft still exposes historical information.
- Microsoft data has not refreshed or settled yet.
What to check first
- Open the subscription in Microsoft Partner Center or Microsoft Admin Center.
- Check the subscription status.
- Check the commitment end date or renewal date.
- Check whether the subscription has been replaced by another subscription.
- Check whether users are still assigned to the licence.
- Check whether Sync 365 is showing the licence as split subscription rows or one merged licence row.
Should it still be billed?
This depends on your Microsoft commitment terms and your customer billing policy.
In some cases, a subscription that appears cancelled or suspended may still have a commitment period or invoice impact. In other cases, it may be safe to exclude or stop billing.
Do not exclude a subscription until you have confirmed whether your customer should still be billed for the remaining commitment period.
What to do if it should still be billed
- Keep the subscription row visible.
- Map it to the correct billing profile and agreement/contract.
- Use invoice description options where useful to show term or end-date information.
- Review customer billing before approval or sync.
What to do if it should not be billed
- Confirm the subscription is no longer billable under your customer billing policy.
- Exclude the subscription row or licence where appropriate.
- Review the PSA agreement or contract for old additions that may need cancellation.
- Confirm the item no longer raises alerts or syncs to the PSA.
Upgraded or replacement subscriptions
When a subscription is upgraded or replaced, the old subscription may remain visible while the new subscription appears separately.
Review both subscriptions before billing. You may need to map the new subscription and stop or exclude the old one depending on Microsoft status and your billing process.
Split and Merge considerations
If the licence is merged, the cancelled or suspended subscription may be included in the combined licence row.
Use Split to review the individual subscription rows if you need to treat one subscription differently.
Use Merge only when all subscription rows should be billed the same way.
When to wait
If the subscription was changed recently, wait for Microsoft and Sync 365 data to refresh before making a final billing decision.
Recent cancellations, upgrades, transfers, and suspensions can take time to appear consistently across Microsoft systems.
When to contact support
Contact support if:
- A subscription remains visible after Microsoft no longer shows it.
- The status in Sync 365 does not match Microsoft after refresh.
- You are unsure whether the subscription should still be billed.
- An old subscription and new subscription both appear to be billing.
- Excluding the subscription does not stop alerts or PSA sync attempts.
When contacting support, include the company name, subscription name, subscription ID, Microsoft status, commitment end date, and screenshots from Microsoft and Sync 365.
