Billing profiles are the backbone of Sync 365 License (S365L). They allow you to specify the product used so we can add/update the correct product on the agreement/contract.
Essentially, billing profiles automate the billing of Microsoft 365 license types or custom licenses, such as Office 365 Backup, Managed User, Duo, or Exclaimer.
Why Create Billing Profiles?
Creating billing profiles enables you to:
Automate Billing: Link a Microsoft 365 or custom license to a specific product in an agreement to streamline billing.
Custom Pricing: Specify a custom price or use the standard price from ConnectWise or Autotask.
Billing Options: Define whether the product will be Billable, Non-Billable, or marked as No Charge.
Billing Profile Best Practices
Microsoft NCE has added extra complexity here and this is how we recommend to manage it.
Now each license can potentially have a price/sku as follows:
- Monthly commit with monthly billing
- Annual commit with monthly billing
- Annual commit with annual billing
- Annual commit price changes
- When a price change happens, you will have additional Annual commit price points
- Annual commit 2023
- Annual commit 2024
- etc
We recommend creating billing profiles so they are easy to read for all Microsoft 365 licenses and billing frequencies offered to your customers, such as:
M365 Business Premium - Monthly
M365 Business Premium - Annual/Monthly 2023
M365 Business Premium - Annual/Annual 2023
This makes it clear to see what profile you are selecting to ensure you are invoicing your customer correctly.
Adding Billing Profiles
There are two ways to add billing profiles in Sync 365:
Individually
Using Bulk Add
Follow the steps below to add billing profiles individually or in bulk.
Step 1: Navigate to the Billing Profiles Tab
Log in to Sync 365.
Click on the Billing Profiles tab.
Step 2: Adding Billing Profiles Individually
Click on Add Billing Profile.".
Enter a name for the billing profile, such as "M365 Business Premium - Monthly
Select the product from your PSA that corresponds to this
To set a custom price, tick the box labelled Custom Price and specify the price you want to use instead of the PSA default.
Select the Billable Option:
Billable: Will be added as a billable item in your PSA.
Non-Billable: Will not be charged to the customer.
No Charge: Added as a line item with no charge.
Save the billing profile.
- Save the billing profile
- Repeat for all billing profiles and license types you would like to use
Step 3: Adding Billing Profiles in Bulk
In the Billing Profiles tab, click on Bulk Add Billing Profiles.
Select the product from your PSA
We will insert the product description into the billing profile name and you can edit this or click the + to add the billing profile
Repeat for all the billing profiles you need to add and click save
If you need to modify any of the options you can open the billing profile after they have been added to modify the options.
Finalizing Billing Profiles
Repeat the steps above to create all necessary billing profiles and license types that you want to use. Once all profiles have been added, you're ready to proceed to the next configuration step.
