6- Congratulations And User Preferences

Congratulations, you have now set up your customers, your profiles and mapped your licenses to your PSA agreements.

From here, we will be automatically synchronising changes and saving you time and money!


We believe the best way to save you money is by managing by exception. This means, instead of having to reconcile your licenses, check through everything, we want alerts to fix up items that are missing or that we need to bill customers.

To assist you in this, we have a range of notifications that we recommend setting up.


Alert preferences

Go through to Tools> Settings, to configure your alerts click "Edit alert settings".

Here you can set the email for the notifications to go to, and the frequency you would like to receive them

We recommend turning on the following.

  • No billing profile assigned = Notify when there is no billing profile linked to a license.
    • Used to ensure you are billing for licenses you supply and newly added license SKU's are detected
  • Available licenses  = Alert when there is licenses not assigned to an account.
    • Used to allow you to cancel unused licenses that the customer no longer needs or is using
  • Invalid Auth Notification - Recommended to always keep on
    • Used to alert if we are having issues retrieving data from Microsoft for your account
  • Tenant not added notification = Alerts if you have tenants in your Partner account that are not added to Sync 365 License
    • Used to save you from mistakenly not billing new customers that you onboard to Microsoft 365
  • Tenant Removed from Partner List = Alerts you if a tenant disappears from the partner list
  • Shared mailboxes with licenses assigned = This notification will let you know for any added customers shared mailboxes that have licenses assigned to them.
    • Perfect to catch those accounts you have closed down but not removed the licenses from!
    • Any Shared mailboxes you have that need a license, you can exclude reporting on that license type for that tenant via the exclude link

In this section after you save the settings, you can also click on "Exclude Tenant" to exclude a tenant from alerts. For example if there is a tenant you have in your partner list, but you don't have access to and wont be using them in the software, you may get some alerts about not being able to get their license details. This will exclude them from the alerts.


Preferences

Here you can modify your default options

  • Mapped license default options - This will set default options for when you map a license
    • Show names on invoice will select the option to add usernames to the invoices
    • Allow negative prorate will select the option to allow negative invoices
    • Cancellation grace days will set the number of days after the end of month, that a cancelled license should be considered cancelled at the end of the month (Default 2 to account for Microsoft updating it at midnight of the night of cancellation)

Here you can also specify your currency symbol and time zone.

  1. Pause license sync - Pause all automatic sync and only allow manual license sync operations
  2. Default subscription source - For Direct CSP, change the default view to show all subscriptions, the tenant subscriptions or only partner side subscriptions
  3. Default licenses view - Default the view to show either licenses, or the licenses split into their specific subscriptions
  4. Digest Time - When to send alerts for any pending automated license mappings that are waiting approval


Monthly Reporting Preferences

Here you can upload your logo to be used with reports and set a sender name for the emails that go out.

  • Upload Logo - Upload a logo with a max dimension of 520x90 pixels to go on the monthly report.
    • If you schedule a monthly report for a customer tenant, it will use this logo in the header.
    • Additionally, if you are a direct CSP partner and plan to use the End User self service portal, this will be the logo that displays when your customer end user logs in. 
  • Reply to address - set your Reply to email for any alerts
  • Sender name - Set the name to be sent on alerts and reports
